The “Company” has designated Travel Management Companies listed on Appendix A as the only approved providers of business travel arrangements (excluding *car services*) for the Company.
If an employee requires car service, ground transportation reservations should be booked directly by or on behalf of the employee.
When using a car service, a separate trip should be booked if expected wait time is greater than two hours.
An employee who is not normally scheduled to work after 21:00 may receive reimbursement if they work after 21:00 for (i) a cab or car service home if they live within a 40 km radius or (ii) a cab or car service to their usual point of departure (e.g. rail station, etc.)
if they live outside of a 40 km radius, unless their manager approves a taxi or car service directly to their home.
After obtaining consent from the appropriate business unit Managing Director or President or one of their direct reports, an employee attending an off-site evening work event may receive reimbursement for a cab or car service home or to their usual point of departure on the same terms as set forth above for employees working after 21:00.
Notwithstanding the forgoing, business unit Managing Directors and Presidents’ and their direct reports are permitted to take cab or car service home after attending an off-site work event without obtaining prior approval.
Any reimbursement for a taxi/car service home prior to 21:00 must be approved in writing by the appropriate business unit Managing Director or President or one of their direct reports.
For cost considerations, employees are, in locations where taxis are cheaper than car services, encouraged to take taxis versus car services when available.
Direct billing accounts with hotels, car services, restaurants and other providers must never be set up directly by employees in their own name.
