These are not every day activities! Archiving is generally done once a year, invoicing is once a month, accountancy is done quarterly - preparing documents for the accountant that is. Emails and phone calls are normally answered immediately, but with longer projects, I do not get either one every day either.

I probably spend about half a day every month on general admin, including invoices. But I don't consider e-mail as admin. I generally have so many of them coming backwards and forwards that I can spend up to an hour a day on them. But it's all part of the process of acquiring, discussing, delivering work, etc.

I wonder how many translators that respond use or do not use additional tools, ProZ.com invoicing, TO 3000 etc

I use Translation Office 3000. I put in about 20 minutes each day making sure all client and banking information is in place. If I don't all of this piles up on me and becomes more confusing.
